MINUTES
September 16, 2010
The Johnston Public Library Board of Trustees met for a regular meeting at 5:30 pm on Thursday September 16, 2010 in the Archive Room. Present were Shirley Weuve, Dennis Schuessler, Alex Johnston, Taena Fowler, Director Willona Goers and Assistant Director Maurine Myers.
Approve Agenda
Dennis Schuessler moved approval of the agenda. The motion was seconded by Alex Johnston and unanimously approved.
Citizen Comments
Thank you messages were received from CILSA for use of the meeting room and from two users who had been helped by staff. Cheryl Heid also received a thank you for exam proctoring.
Meeting Minutes
Dennis Schuessler moved approval of the minutes. The motion was seconded by Alex Johnston and unanimously approved.
Approve bills
Library bills for the month total $22,061.84 with city back charges of $10,165.06. Dennis Scheussler moved approval of the library claims. The motion was seconded by Alex Johnston and unanimously approved.
Urbandale Integrated Library System Agreement for FY11/12
Willona distributed a draft of the Integrated Library System Agreement with Urbandale for FY11/12 with details of the total cost of $42,825.00. Approval of the agreement will be on the October Board agenda.
Budget and Finance
- As of August 31, 2010, total expenditure was $158,531.88. With 16.66% of the year of having passed, spending represented 14.65% of the total operating budget.
- As of August 31, 2010, assets in the Library Trust totaled $47,040.14.
Monthly Statistics
- August circulation totaled 28,198, a 9% increase over last August.
- DVD circulation increased 20% over last August.
- Circulation of downloadable audios increased 340% from August 2009 to August 2010. The library catalog includes the more than 4,000 titles currently available in downloadable format.
Strategic Planning Timeline
The Board reviewed the proposed Strategic Planning Timeline for the 2011-2014 plan and agreed to a target completion date of May 2011. Willona will distribute a copy of the previous survey for review and Shirley Weuve and Alex Johnston will serve on the subcommittee for survey planning.
Director’s Report
Building & Grounds:
- A technician from Simplex Grinnell identified the problem with the security system which occurred after a recent electrical storm.
- The Pepsi machine has been removed. Touchup of the floor finish is done; painting touchup will be completed this week in preparation for reconfiguration of the area.
- Consideration is being given to relocating the Friends’ book sale to the vending area and utilizing the current book sale space as an additional study area.
Programs:
- Registration for Youth programs began after Labor Day and regular programming has resumed.
- Youth Services will host a special “Meet the Author” session with Rebecca Janni, local author of the picture book ‘Every cowgirl needs a horse’.
- Adult programming for the month includes the Library’s regular book discussion, a ‘Drug Awareness for Parents’ program presented by Johnston Police officers, KidSight (screening for children 6 months-4 years) sponsored by the Johnston Lions, ‘Fall Back into Gardening’ with Robyn Hoffland and ‘Family Movie @ the Library’.
Marketing, Public Relations & Networking:
- Heather Schmitz, Taena Fowler, Willona and Maurine represented the Library at the Johnston Farmer’s Market on August 31.
- Willona attended a Laptop Lab Board meeting on September 13.
- Both the Library and the JPF Foundation will be represented in tonight’s Johnston Homecoming Parade.
- Willona will attend the September 28th meeting of the Johnston Rotary to present information about the Library.
- Willona reported on plans for the ‘One in a million’ celebration.
- Willona reported on her passed year’s involvement with the Iowa Library Association.
- Willona will attend an October 23 banquet honoring the Johnston Alliance for Character Development and the Johnston community as this year’s recipient of the ‘Community of Character’ award.
- Willona will participate as a TeamMates mentor for the Johnston School District.
Technology, Telecommunications, Networking:
- An upgrade of our Symantec software is scheduled for November 11 while the Library is closed for Veteran’s Day holiday. Willona, Dreama and Maurine will be working that day.
Staff & Training Update:
- All staff participated in ‘Shelver 101’ at the August staff meeting; we will continue to highlight the responsibilities of various jobs during future staff meetings.
- The ‘Black Belt Librarian’ training was held September 8 & 9. All staff who work at least half time attended as did Heather Schmitz and Dennis Schuessler.
- The State Library’s Annual Town Meeting will be at Urbandale Library on September 22 and the ILA Annual Conference is October 13-15 in Coralville.
Foundation & Friends Report
- The Foundation Board met September 1, 2010.
- The JPL Friends met August 30, 2010 and finalized plans for the ‘One in a Million’ celebration. The next Friends’ meeting is scheduled for October 11 at 6:30 pm.
- The November board meeting will include approval of the coming year’s budget.
There being no further Trustee Comments or Other Business, Dennis Schuessler moved for adjournment. The motion was seconded by Alex Johnston, unanimously approved and the meeting adjourned at 6:18 pm.
